Event Planner & Donation Drive Coordinator

Location: The Events and 3rd Party Coordinator works primarily from the central administrative offices of Women In Distress located in Deerfield Beach, Florida. While the Events and 3rd Party Coordinator may at times work remotely, doing so would be episodic and not the primary mode of employment. Job duties will also include driving to multiple locations to aid in donation pickup.

Position Summary

Under the supervision of the Associate Director of Development, Events & Annual Fund, the Events and 3rd Party Coordinator works closely with the Development Team in conducting efforts related to annual fund initiatives (direct mail, donations drives, etc.), events (three major annual fundraising events and other, smaller, events) and volunteer coordination.

Days/Hours

This is an in-office position and general office hours are Monday-Friday 8:30am-5:30pm. This position requires employee to have scheduling flexibility as evening and weekend work is occasionally needed to support the team and meet the needs of the agency.

Qualifications/Skills

  • Bachelor of Arts or Bachelor of Science Degree in a field such as English, Communications or Marketing preferred.
  • Minimum of two years’ experience in sales, customer service or, preferably Development/Fundraising.
  • Strong verbal, written, and spoken communication skills.
  • Must work well in a very fast-paced team environment.
  • This position involves periods of evening and weekend work; this work often involves physically demanding work (i.e., setting up for events).
  • Must be an intentional and proactive communicator who is passionate about supporting Women In Distress’ mission to end domestic violence and abuse for everyone through education, intervention, and advocacy.
  • Valid Florida driver’s license. Safe/Acceptable driving history. Proof of Automobile Liability Insurance.
  • Must be able to frequently lift up to 50 lbs.

Essential Job Functions

  • Responsible for aiding current annual fund activities
  • Serves as secondary point person for annual events including: 1) Annual Golf Tournament (Fall): Silent and Live Auction coordination, Update of Auction List, Assemble event gift bags, Attend committee meetings, Oversee the planning and final execution of logistics for tournament 2) Women’s Empowerment Forum (Winter): Event Logistics, Investigating and planning event venue and layout 3) Starfish Luncheon (Spring): Coordinate pre event meetings with WID staff and contractors, Event Logistics, Silent Auction coordination and donation solicitation, Investigating and planning event venue and layout, Vendor communication and contracts, Coordinate event set up
  • Continually collects silent auction/raffle donations from individuals and businesses.
  • Responsible for cultivating and planning Third-party events and serving as the primary point person
  • Serves as secondary Development coordinator for annual donation drives including: a. Back to School b. Thanksgiving c. Holiday d. Mother’s Day
  • Work as part of a dynamic Development team, accepting regular assignments as needed even when not specifically delineated in this job description.
  • Facilitate optimal utilization of volunteers in the Development area and responsible for recruiting and implementing volunteers
  • Responsible in aiding frequent donation pickup within a 30 mile radius

Additional Notes

  • Employee will be required to take the Department of Children and Families (DCF) Core Competency training and obtain a passing grade of 75% or higher.
