Position Summary

Reporting to the Compliance Manager, the Compliance & Quality Assurance Coordinator works collaboratively and communicates effectively across the organization, responsible for the coordination and execution of all grant contract requirements to ensure that all funding contractual requirements are met and reports are being submitted to funders in a timely and accurate manner.

Days/Hours

Monday-Friday 9a.m.-6p.m. with weekend and evening flexibility.

  • Individual must be proactive, energetic, self-motivated, solution-oriented team player and able to meet deadlines with the ability to balance multiple tasks with accuracy to details.
  • Must be reliable, flexible, and have the ability to work in partnership with other team members
  • Advanced computer database and Microsoft Office software skills (including Word, Excel, Outlook, PowerPoint).
  • Knowledge of reporting procedures and record keeping in a social service setting, preferred

Essential Job Functions

  • The person holding this position will provide assistance to the Compliance Manager and management team in establishing standards, policies and procedures that are compliant with contractual requirements and regulations. In partnership with the Compliance Manager and the program management team, reviews and ensures compliance with statutes, regulations and contract terms as a part of the standard review process and provides input as necessary. Coordinates grant contractual compliant and reporting processes with key staff across the organization (Administration, Finance and Program Managers), to ensure that all funding requirements are met, and timely reports are being submitted to funders. Will develop and maintain organizational systems to track and monitor programmatic compliance requirements and quality assurance processes in partnership with the program management team. Will be responsible for creating and submitting to the grant management team monthly, quarterly and annual program compliance and statistics reports that provide the team with the necessary information to ensure team members are meeting their contractual goals and deliverables and providing quality service delivery.
  • Assists the Compliance Manager in the coordination and execution of all grant contractual funders’ directed monitoring(s) and serves as secondary point of contact with funders for grant issues. Supports participant database (Osnium) workflow processes related to data entry to ensure adequate internal controls and oversees quality control of data to ensure accurate and efficient reporting of grants and contracts data.
  • Work in partnership with Compliance Manager to develop and implement a training program to ensure all program staff are trained on Osnium database usage. Conducts focused compliance and Osnium database training to new employees and dependent upon identified needs for departments and individuals.

Additional Notes

  • Employee will be required to take the Department of Children and Families (DCF) Core Competency training and obtain a passing grade of 75% or higher.
