Compliance Manager

Location: Jim and Jan Moran Family Center, Deerfield Beach, FL. Position requires light travel within the county from time to time.
Compensation:$55,000 - $67,000 (based on experience)

Position Summary

This position works closely with the Grant Management Team and oversees the Compliance & Quality Assurance Coordinator role to ensure that the organization is in compliance with all federal, state, and local government regulations as it relates to grant contractual agreements.

Days/Hours

Full Time: Monday-Friday 9a.m.-6p.m. with flexibility as needed to meet the needs of the department and the agency. All employees of Women in Distress are considered “essential” and as such may be required to be available to remain onsite and/or required to assist during emergencies and other critical times.

Essential Job Functions

  • Provides a strong day-to-day leadership presence to the Compliance & Quality Assurance Coordinator through coaching and develop to retain a high-performance team with an emphasis on developing capacity in key areas, while establishing clear direction of responsibilities, objectives and goals.
  • Designs, implements, and monitors contracts management workflow processes, tracking tools and systems, and procedures in partnership with the grant management team and oversees the continual improvement of the contract management process.
  • Establishes, implements, and oversees systems for routine monitoring and auditing of compliance and accreditation requirements throughout the organization including but not limited to: annual program reviews, internal monitoring plans, and appropriate documentation maintained by the various department. Works with COO, CFO, and Program Management team as appropriate, to communicate and address observations and recommendation
  • Provides technical assistance and conducts regular compliance meetings and training for program managers to ensure reporting requirements are met within defined timeframes. Ensures all related departments are in compliance with all regulatory, licensing, grant contract, or funder.
  • Oversees the organization accreditation process, which includes the management of the Process and Performance Improvement Plan - working in partnership with the leadership team to identify and execute operational process improvement projects to assure excellence in the provision of services.
  • Serves as project lead for all monitoring and site visits from funding agencies, including engaging programmatic, fiscal, and other staff that are part of the monitoring team.
  • Responsible for the management and oversight of the organization's participant management database. Responsibilities includes serving as the liaison between Women In Distress and DCF on all database related issues, ensuring compliance on data accuracy by conducting regular data analyses, refining data collection protocols as needed, and supporting program team with training and utilization needs.
  • Acts as primary liaison with all government funding agencies and community partners to ensure timely and accurate submission of all contracts, MOU's and other required documentation. Serve as project lead for the negotiation and execution of all funding contracts. Processes award documents, drafts sub-agreements, MOU’s, and similar documents.
  • Prepares, monitors, and serves as project lead for all statistical and data driven reports for internal and external stakeholders.
  • In partnership with key departments (Programs, Finance and Development), plays an integral role in generating grant proposals and program outcomes, developing and administering agency and grant budgets, managing and supporting grant requirements and implementation for the organization, and providing detailed reports to the funders and the board of directors with respect to the organization's progress.
  • Completes other tasks as assigned.

Additional Notes

  • Employee will be required to take the Department of Children and Families (DCF) Core Competency training and obtain a passing grade of 75% or higher.
